The art of cross referencing – managing 1000 pages of requirements from 78 different parties.

One of Sweden’s largest Universities was about to review its entire IT business distributed over nearly one hundred institutions and faculties with large geographical distribution. The University has a common IT organization but the quality and service level delivered was lower than expected driving the institutions and faculties towards other internal and external suppliers. Two studies were conducted separately:

  • A need analysis aiming to show prioritized IT functions and their delivery.
  • An inventory covering Software and Hardware; servers, clients, applications, server rooms etc.

The studies generated nearly a hundred documents with unstructured information, together with more than 1000 pages of MS Word and MS Excel. Gathered information was imported into inorigo® supporting a helicopter view of the material and the University IT business. Duplicate systems and functions were easily spotted as well as vital functions lacking sufficient IT support.

Results:

  • Clear view of redundancy and a fact based decision support to reduce server operating system versions, cooperative platforms and distance learning platforms.
  • Monitor usage of current long distance meeting tools.
  • Help vital functions to sufficient IT support.
  • Fact based decison to manage client back up.
